Where NeonShdw processes personal data on behalf of a client operator as part of a systems integration or management contract, the client is the controller of that data and NeonShdw acts under written instructions. This policy explains the relationship and points out the boundaries so no one mistakes the sign for the building behind it.

Nothing in this policy overrides a more specific agreement you sign with NeonShdw. Where a written master services agreement or statement of work contains its own data handling clauses, those clauses govern the specific engagement.

Information We Collect

NeonShdw limits collection to what the work actually requires. We gather information in two broad families: information you deliberately hand us at the counter, and information our systems note automatically as you walk past the shop window. The guiding rule of the studio is stated in one plain sentence: if a data point cannot be named in a sentence a layperson understands, we do not collect it. How We Use Information

Every use NeonShdw makes of personal information serves one of four clear purposes. First and foremost, to reply to enquiries and to perform the services a client orders: integration work, architecture, infrastructure, modernisation, pipelines and service desk platforms all require contact details and, in time, records of configuration decisions. Second, to keep our accounts true, since billing and tax records require the identifying details of any paying company and its invoicing contact.

Third, to improve the estate we operate: usage patterns, error reports and support requests tell us where a service runs dimly, and that information feeds our maintenance ritual. Fourth, to meet our obligations under law, including responding to lawful requests from courts, regulators and public authorities, and to protect the rights and property of NeonShdw, its clients and the public.

We combine personal information across these purposes only where the combination is necessary and defensible. Lawful Bases for Processing

For most project work, the basis is the contract: processing is necessary to perform an agreement with the client or to take steps at the client request before entering one. Where consent is the correct basis, most often for email alerts or nonessential tracking that we occasionally offer, we obtain it through an affirmative choice and we honour its withdrawal in full. NeonShdw does not sell personal information and does not trade in personal data. We share information only where the work demands it and only to the extent required. Our hosting providers and the few subprocessors who help run our communications, code storage and billing receive only the slices of data their own function requires, under written contracts that bind them to confidentiality and security.

Where a client project touches another system, we may pass configuration and contact details from one service to another at the written instruction of the client. Where cross border transfer from the European Union or the United Kingdom occurs, we apply the standard contractual clauses or an equivalent recognised safeguard.

We answer lawful demands from courts and public agencies that carry proper jurisdiction, following the limits of the law. Where we believe a demand is overbroad we object, and where disclosure is required we notify the affected party when the law allows us to do so.

Servers and Storage

Software built by NeonShdw and infrastructure designed by the studio is hosted with cloud providers that publish security certifications and publish their own subprocessing lists. Client workloads are commonly held in regions chosen at the design stage, often within the United States, with copies that serve continuity plans agreed for the specific operator.

Our own website and enquiry records reside on hosting chosen by NeonShdw for integrity and stability. Because the internet crosses borders without filing a flight plan, data may pass through intermediate networks outside the region where it first lands. Those transit copies are transient and are not a deliberate relocation of your data.

Any transfer of client data beyond the territory named in an agreement is flagged in writing before it happens, so the operator always knows which shop holds the glass at a given moment.

Cookies and Similar Technology

This website sets the fewest cookies that still allow it to work. A small number of cookies hold technical state needed to serve the page safely, such as load balancing tokens that keep requests flowing to the right bench. These functional cookies are essential and are set without requiring consent because without them the shop door would not open smoothly.

Project records, including configuration decisions and administrative contact details, are kept for the life of the engagement plus the retention period your agreement states, and for no longer than tax, accounting or statutory duties require.

Automatic logs are rolled and aged on short cycles, commonly a few weeks, unless a fault investigation or lawful hold freezes a slice of them for a defensible purpose. When a retention deadline passes, deletion is implemented by removing the data from active systems and then from backups on their normal scheduled cycle. Deleted data is not quietly repurposed for a reason invented after the event.

If you ask we will state the specific retention period that applies to a named record we hold about you, unless a legal or security duty prevents that statement.

Privacy for Children

This website and the services of NeonShdw are directed to business operators and professional teams, and they are not aimed at children. We do not knowingly collect personal information from anyone under the age of thirteen, and where protection of minors is recognised at a higher age by local law we extend the same care to that threshold.

Access to records that hold personal information is limited by role and by project. Logs of who reached what are kept so misuse can be traced to a specific desk and a specific time. We rehearse recovery paths and treat every apparent break as a chance to tighten the seal until it hisses clean.

No method of transmission is perfectly secure, and the studio states that plainly rather than promising a vault with no door. Should a breach come to light, NeonShdw will act within the timeframes the law demands, will tell affected parties what was exposed and what we changed, and will record the incident so the next build starts with the lesson already built in.

Your Rights

Depending on where you live, the law gives you a set of levers over your own information. Among these are the right to request a copy of the personal data we hold about you, the right to ask that inaccurate details be corrected, and the right to seek deletion of data we no longer have a lawful reason to keep. Under those statutes you have the right to know what personal information we collect, how we use it, and where it comes from, all of which this policy already describes. You also have the right to request that we delete personal information we hold about you, subject to the exceptions the law recognises.

NeonShdw LLC does not sell personal information and does not share it for cross-context behavioural advertising. We have no record of selling or sharing information for such purposes in the twelve months before the latest revision of this policy, and we will not characterise routine service functions as a sale. You also hold the right to non-discrimination, meaning we will not treat you differently for exercising your privacy choices.

You may withdraw consent at any moment and, where you believe your data is handled unlawfully, you may lodge a complaint with your own supervisory authority. That authority is usually the data protection office of the country where you live, and contacting it costs you nothing but a letter. Where we act as a processor for a client in these regions, the client is the controller and directs requests to us. We cooperate with controllers in answering data subject requests within the agreed timeframes and keep the records the law requires of a processor.

Changes to This Policy

NeonShdw resolves to keep this page current with the practice it actually runs. When the studio changes what it collects, why it collects it, or who it shares with, this document will be revised before the change takes effect, and the revision date at the top will move forward so no one mistakes an old edition for the standing rule.

Material changes that affect your privacy are announced where you can notice them, most often by a note on this page and in the footer of the site, rather than buried in files no one reads. A revised policy binds only after it is posted, and where consent is the basis for a particular use that continues, fresh consent is sought for the new purpose rather than presumed.
